[1] Tool Menu

Template

Apply a template sheet to your diagram. Selecting the template at the template dialogue which it will prompt when clicking the template function.

Shapes

Add new basic shape.

Text

Add new text object.

Line

Add new line object.

Clicking the arrow display beside Line option to choose the line type.

Pencil

Use freehand drawing. 

You can choose the line width or color. 

Sticky Note

Add sticky notes in bulk.

Table

Add new table object.

Chart

Create different types of the chart with the selection prompt. 

Import

Add new image object. Select the way to import image files after clicking this menu.

Comment

The Comment tool lets you comment anywhere on the sheet. Expanding a comment shows the conversation thread with other users.

You can change a comment’s location by dragging the comment icon. 

Shape Library (...)

Add more icons and shapes such as Flowcharts, AWS, Kubernetes, etc., or custom shapes from the Shapes Library.


  

[2] Editor Menu

Fill

Apply color and opacity settings for selected objects.

Line Style

Change line styles settings of selected objects.
These settings include line thickness, color and style.
The start/endpoints of both edge and line type are only available for line objects.

Shadow

Change shadow color, opacity, blur, background and to hide or unhide the shadow.

Open Text Menu

When click on "Open text menu", a text formatting menu will be expanded and reflects in the editor menu.

Change text format such as font, text size, text color, text highlight, text style, line spacing and alignment of selected text objects. 

Link

Apply a link to a selected object.
You can link the objects to a specific URL or a sheet within the diagram. 

Arrange

Align the position of multiple selected objects.
If three or more objects has been selected, you can distribute them to be equidistant from each other on a horizontal or vertical line. 

 

Stack Order

Set the stacking order for the selected objects.
You can bring the object to the front, back, forward and backward.

Styles

Apply a prepared style set to selected objects.

Other Menu

Click on the right edge of the editor menu or right-click on the selected objects to display it.

You can find additional options that are not reflecting on the editor menu.

 

[3] Panel Menu

Sheets

To show or hide the sheets preview panel (4). 

Comments

Manage the comments settings such as to show or hide comments, or view and navigate to ALL or MENTION comments within the diagram.

You can show or hide the comments preview panel (4) by clicking the Comments Menu icon. 

Video

Collaborators can have live video chat within the diagrams

Chat

Collaborators can have live communication within the diagrams

Settings

To show or hide the settings preview panel (4). You can further manage diagram settings such as:

  • Sheet size - by default is the free size or to select a custom size. 
  • Grid view - controls visibility of grid lines on the sheet.
  • Snap to grid - changes the snapping objects rule to snap to grid-lines or nearby objects.

 

[4] Preview Panel

You can show or hide the Preview Panel when clicking on the Comments, Sheets and Settings Menu (3) It will display these function settings.

Cacoo's diagram is constructed with multiple sheets.
You can navigate between sheets in a diagram from the sheets panel.

Add Sheet

When you click the [+Add Sheet] button, a new blank sheet is added to the current diagram.

Select Sheet

When you click a sheet thumbnail, the Editor will reflect the contents of the selected sheet.

Change Sheets Order

You can change the sheet order by dragging a sheet thumbnail up or down in the sheet list.

Change Sheet Name

Click the sheet name area under a thumbnail to modify the sheet name.

Duplicate Sheet

Hover over to the sheet thumbnail and you can find "..." icon on the upper-right. Clicking the icon will and select "Duplicate" will duplicate the current sheets within the diagram. 

Background Sheet

You can make another sheet as the background sheet for the current sheet within the diagrams. One sheet can be used as the background sheet for multiple sheets. When you update the background sheet, the changes are applied on each sheet.

Delete Sheet

You can delete the sheet from the upper-right “delete sheet” icon on the sheet thumbnail.

 

[5] Top Navigation Area

< (Dashboard)

Selecting the "<" icon will navigate you back to the Dashboard. 

Folder Selection

You can change the folder of your saved diagram from the selection list. 

Diagram Title

You can change the title of the diagram by clicking the title text.

Diagram Other Settings

Selecting the down arrow beside the diagram title allows you to edit more diagram settings. 

Favourite

You can “star” a diagram and it will shows up in the "Favorites" list in Dashboard so that you can access it easily.

Duplicate

To duplicate the diagram to current or other folders. 

Diagram Type

You can choose the diagram type as an original diagram or create custom shapes or templates to reuse it when making other diagrams. 

Live Cursor

You can enable or disable live cursor - to share your cursor’s position and see others cursors in real-time. The cursor and user’s name will appear as below.

Share

When clicking on "Share", the share menu will prompt.
You can share the diagram link, image link or embed code with viewable or editable option. 

Play

This shows the diagram in the presentation mode.

Export

You can exports the diagram to other file formats from the Export menu.
Free plan users can only export as PNGs. Paid plan users can export in all file formats.

You can print the Cacoo diagram from this dialogue when you select Print.
If you want to create a PDF with embedded fonts that you used in your diagram, please use the Print menu, then click “Print to PDF”.

  

[6] Properties bar 

Undo

Cancel last editing operation.

Redo

Cancel last undo operation.

Zoom

This changes the zoom level (zoom in "+" or zoom out "-") on the sheet. 

History

You can save the diagrams or contents changes as version history and refer back it later in the History menu. 

This function is only available for paid users. 

Activity

You can keep track of your collaborator’s activity within the diagram. In the activity panel, the activity log will be broken down by the date, time, and users who made the changes or updates.
